# Why Corporate Housing Spreadsheets Break (and When to Switch)

The ways corporate housing workbooks fail as you grow, the signs it is time to move to software, what to look for, and how to switch without losing a month.

In short

Spreadsheets store data but cannot enforce it. As a corporate housing business grows, that shows up as double bookings, invoices that do not match stays, furniture nobody can find, deposits that never reach the books and month-ends that take a week. The usual signs it is time to switch: more than one person edits the workbook, companies pay for several residents, you lease units or run furniture logistics, or a single mistake has already cost real money.

Almost every corporate housing company starts on a spreadsheet, and that is a good thing. It is free, flexible and you can start the same afternoon. The trouble comes later, slowly, and usually all at once.

## How the workbook breaks

**It has no rules.** Nothing stops two bookings for the same unit on the same night. You find out when two people arrive at the same door.

**Everything is typed twice.** The booking is on one tab, the invoice is typed from it, the accounting is typed from the invoice. Change the dates and three places need updating.

**Formulas drift.** Someone wrote the proration formula once. Someone else copied a row and broke it. Nobody notices until a client queries an invoice.

**Versions multiply.** "bookings_FINAL_v7 (2).xlsx" exists because two people edited at the same time and nobody was sure which copy was right.

**There is no history.** Who changed the move-out date, and when? The workbook cannot tell you.

**It lives in one head.** The person who built it is the only one who really understands it. When they are on vacation, the business slows down.

**Outsiders cannot use it.** Residents, clients and vendors cannot see their own part, so they call and email instead.

**Month-end is an investigation.** Matching bookings, invoices, payments, deposits and bank statements by hand takes days.

## Signs it is time to switch

| Sign | Why it matters |
| --- | --- |
| A second person edits the workbook | Conflicts and overwrites start |
| You manage more than a few dozen units | Gaps and clashes stop being visible |
| Companies pay for several residents | Invoicing gets complicated fast |
| You lease units from communities | Rent to property, deposits and renewals need tracking |
| You run furniture setups and teardowns | Logistics need dates, crews and inventory |
| Month-end takes more than a day or two | The books are being rebuilt, not closed |
| A mistake has already cost money | The next one will too |

## What to look for in software

- **A schedule board** that shows every unit, stay, gap and turn across months
- **Quotes that become bookings** without retyping, with proration and taxes built in
- **Billing tied to the booking**, so extensions update invoices
- **Furniture and maintenance** tied to units and stays
- **A real general ledger**, or a clean connection to one
- **Portals** for residents, clients and vendors
- **User roles and an audit log**, so you know who changed what
- **Built for stays of 30 nights or longer**, not adapted from nightly rentals ([why that matters](https://staylio.co/compare/vacation-rental-software/))

## How to switch without losing a month

1. **Clean the master lists first**: properties, units, residents, corporate clients and vendors, one row each, no duplicates.
2. **Bring over current and future bookings**, with their rates and billing rules.
3. **Set opening balances**: what each client owes, deposits held, and your bank balances.
4. **Pick a clean start date**, usually the first of a month, so invoicing starts fresh.
5. **Run both for one cycle** if you can, and compare the invoices.
6. **Retire the workbook**, or keep it read-only as history.

## What changes after

In Staylio, every booking is one record shared by the [schedule board](https://staylio.co/platform/bookings/), the furniture crew, [billing](https://staylio.co/platform/billing/) and the [general ledger](https://staylio.co/platform/accounting/). Change the dates once and everything that depends on them follows. See the [full comparison with spreadsheets](https://staylio.co/compare/spreadsheets/).

## Frequently asked questions

### Can you run a corporate housing business on Excel?

Yes, especially at the start. Many operators run their first units on a spreadsheet. It becomes risky as more people edit it, as companies pay for several residents, and as furniture, leases and accounting are added.

### When should a corporate housing company move to software?

Usually when a second person starts editing the workbook, when you manage more than a few dozen units, or when a double booking or missed invoice has already cost money.

### How long does it take to switch from spreadsheets?

It depends on how clean your data is. Cleaning the master lists of units, residents, clients and vendors is most of the work; choosing a start date at the beginning of a month makes the cutover simple.
